Privacy Policy
This explains what Vocabie stores, who processes it, and the choices you have. Vocabie keeps a local copy of your data on this device so lessons and reviews stay fast and work offline, and stores your account, learning progress, and Vocabie Coach conversations under your account on our servers.
1. Overview
Vocabie stores your profile, learning progress, and Vocabie Coach conversations under your account on our servers, and mirrors them to this device. Some of the text you write is sent to an AI provider so Coach can reply, practice sentences can be graded, and lesson content can be prepared. Subscriptions are handled by the App Store on iOS or Google Play on Android. Vocabie contains no advertising and no third-party analytics or tracking SDK, and does not collect advertising identifiers. The sections below say exactly what each of those means.
2. What we store
Your profile and course settings (the languages you study, goals, interests, and pace); your placement result; lesson, review, and practice progress, including spaced-repetition statistics, favourites, and words marked as difficult; game statistics; Vocabie Coach conversations; a small, bounded set of learning-relevant notes Vocabie remembers about you (see “Vocabie Coach memory”); the text produced by dictation; and your app settings, including your daily-reminder preference. Your email address and the sign-in provider you used are stored with your account. A username is optional — if you set one, it is stored with your account. Profile, progress, and Coach data are stored both on this device and, under your account, on our servers.
3. Who processes your data
Vocabie uses a small number of named providers. Supabase hosts our database, our authentication, and the server functions that talk to the AI provider. OpenAI performs the AI processing described in the next section. RevenueCat records which subscription belongs to your account. Apple processes payments for App Store purchases, and Google processes payments for Google Play purchases; each store receives the payment and transaction information it needs to complete and manage the purchase. Speech recognition is performed by your device's own speech service — on iOS that is Apple's, and on Android it may be Google's or the device manufacturer's. We do not sell your data, and we do not share it with anyone else for advertising.
4. AI processing
Four features send text to OpenAI, always through our own servers and never directly from the app: generating a Vocabie Coach reply, grading a practice sentence you wrote, enriching a lesson with examples and explanations, and generating vocabulary for a course. What is sent is the text the feature needs — your Coach message and the recent part of that conversation, or the sentence you wrote, or the word being prepared — together with your course languages and level. Your email address, password, and payment details are never sent. We pay for API access and have not opted in to share data for training. OpenAI states that API inputs and outputs are not used to train its models by default. Every request is authenticated as your account and rate-limited, and requests are sent with the provider's storage turned off, so they are not retained for model training.
5. Vocabie Coach memory
Vocabie Coach may remember a small, bounded number of short, durable, learning-relevant notes you share — such as a goal or a recurring difficulty — to make future conversations more helpful. At most a handful of notes are kept per course, and the oldest are dropped as new ones arrive. This memory is never treated as an instruction, is never used to extract sensitive personal data such as health, financial, legal, or immigration details, and you can clear it at any time from “Settings > Privacy and data”.
6. Microphone and speech
Dictation and speaking practice use your device's own speech recognition, which needs microphone access. On iOS, recognition is performed by Apple; on Android, it may be performed by Google or the device manufacturer. Depending on your device and the language models installed on it, your speech may be recognized entirely on the device or sent to that provider for recognition. That choice is made by the operating system, not by Vocabie, so we cannot promise that audio never leaves your device. What Vocabie itself does is narrow: it never records audio to a file, never sends audio to our servers or to the AI provider, and keeps only the recognized text — which you can clear from “Settings > Privacy and data”. You can use every exercise by typing instead.
7. Signing in
You can sign in with Apple, with Google, or with an email address and password confirmed by a 6-digit code. Signing in creates an account, hosted by Supabase, that your profile, progress, and Vocabie Coach conversations are stored under, so you can continue on another device. If you use Sign in with Apple with “Hide My Email”, Vocabie only ever sees the relay address Apple provides. A public username is optional; nothing in the app requires one.
8. Subscriptions and payments
Purchases are made through the App Store on iOS or Google Play on Android. Apple or Google processes the payment, and Vocabie never sees your card or payment details. RevenueCat, our subscription platform, records which purchases belong to your account — identified by your account ID, not your name or email — and tells the app whether your subscription is active. Deleting your Vocabie account also deletes your RevenueCat customer record, but it does not cancel store billing: cancel it in your App Store or Google Play subscription settings.
9. Your choices
From “Settings > Privacy and data” you can export your learning and app data as a JSON file, clear Vocabie Coach history, clear what Vocabie remembers about you, clear dictation text, reset your learning progress, or reset the app on this device. From “Settings > Account” you can sign out or delete your account. From “Settings > Notifications” you can turn the daily reminder off, and you can revoke microphone, speech-recognition, or notification permission at any time in your device settings.
10. Data retention and deletion
Your data is kept for as long as your account exists. Deleting your account from “Settings > Account” permanently removes the account and everything stored under it — profile, courses, progress, favourites, Vocabie Coach conversations, and Coach memories — together with your RevenueCat customer record; when you signed in with Apple, Vocabie also asks Apple to revoke the app's access. Deletion takes effect immediately and cannot be undone, though copies inside our hosting provider's routine encrypted backups expire on that provider's own backup schedule. Resetting the app clears only the local copy on this device. Short-lived operational records — the rate-limit counters and de-duplication keys that keep AI requests safe — are deleted automatically within a few days.
11. Children's privacy
Vocabie isn't directed at children under 13, and we don't knowingly collect data from them beyond what's described in this policy on a shared or parent-managed account.
12. Changes to this policy
If we materially change what we collect or how we use it, this policy will be updated first, with a new “last updated” date on this page.
